CDS specializes in providing secure online document storage solutions tailored for small businesses such as law firms, medical practices, and consultancy agencies. With a commitment to safeguarding essential documents from risks such as fire, theft, and sabotage, CDS is determined to deliver peace of mind by ensuring both online and offline data security. The company’s mission is to provide secure document storage, while its vision is to establish itself as a market leader in the document storage sector. Currently, CDS operates without an integrated IT system, relying heavily on manual processes managed by a single accountant/administrator using spreadsheets and word processing applications. Call logging and sales tracking are conducted via a help desk system.
Organizational Structure
CDS is composed of ten employees, including the Director, the Director's Secretary, a Financial Manager, an Accountant/Administrator, two Salespersons, and a help desk and support team comprising three members. Notably, the help desk and support personnel are versatile and often take on roles in sales and administration when required.

Over the next five years, CDS aims to transition from a small business to a medium-sized enterprise, becoming a household name in the online document storage arena. The company's strategic goals encompass offering comprehensive online solutions for all business needs.
Current Infrastructure
CDS operates on a large server that has nearly reached its capacity, presenting potential challenges in data management and storage. The office infrastructure includes internet and email servers, a localized network with MS Outlook integration, and both wireless and LAN connectivity. The office design features an open floor plan, facilitating communication among employees while maintaining privacy through lockable doors for the boardroom and Director's office. Additionally, a dedicated server room houses critical IT infrastructure, and there is an off-site warehouse designated for the secure storage of physical documents, located at a secret and secure location.
Deliverables and Reporting Tasks
The tasks outlined in this project will culminate in various deliverables, including comprehensive reports that cover the operational status, strategic recommendations for IT modernization, risk assessments pertaining to current document storage practices, and proposals for expanding online service offerings. These reports will highlight deficiencies in the current manual systems and propose integrated IT solutions that can streamline operations, enhance efficiency, and contribute to achieving the company's broader strategic objectives. Furthermore, the transition to a more robust IT infrastructure will not only accommodate the growing needs of CDS but also enhance its competitive edge in the online document storage market.
